Email Action Tagging

FanDesk automatically analyzes your emails and tags them with required actions.

Action Categories

NO_ACTION

Emails that don't require your response:

  • Newsletters
  • Automated notifications
  • FYI messages
  • Noreply senders

NEEDS_ACTION

Emails requiring your response or action:

  • Questions asked to you
  • Requests for approval
  • Action items assigned

ACTION_LATER

Emails with future deadlines:

  • "Please send by Friday"
  • "Review before our Monday meeting"
  • "Complete by end of month"

The system extracts the due date automatically.

AWAITING_RESPONSE

For emails you sent that are waiting for a reply:

  • "Let me know your thoughts"
  • "Please respond by..."
  • Follow-up reminders

How It Works

  1. Fast Filtering — Quick pattern matching for obvious cases
  2. AI Classification — Claude analyzes ambiguous emails
  3. Date Extraction — Parses dates from email content

Detection Patterns

No-action signals:

  • Noreply addresses
  • "FYI" or "For your information"
  • Newsletter indicators
  • Notification patterns

Action signals:

  • Question marks
  • "Can you", "Could you", "Please"
  • Approval requests
  • Explicit deadlines

Using Action Tags

Filter by Action

In your inbox:

  1. Click the filter dropdown
  2. Select an action type
  3. See only matching emails

Action Due Dates

For ACTION_LATER emails:

  • Due date shows in the email list
  • Overdue items highlight
  • Get reminders before deadline

Changing Actions

If the AI got it wrong:

  1. Open the email
  2. Click the action tag
  3. Select the correct action

Escalation

ACTION_LATER emails escalate to NEEDS_ACTION when:

  • Due date passes
  • You haven't responded
  • Email moves to top of priority

Best Practices

  • Check NEEDS_ACTION first — Most urgent items
  • Schedule time for ACTION_LATER — Block calendar time
  • Follow up on AWAITING_RESPONSE — Don't let conversations die
  • Ignore NO_ACTION — Unless you need the information
