Mail

FanDesk integrates deeply with Gmail, bringing your email into the unified workspace.

Connecting Gmail

  1. Go to Settings > Integrations
  2. Click Connect Google Account
  3. Authorize Gmail access
  4. Your inbox syncs automatically

The Inbox

Email List

Your inbox shows:

  • Sender name and avatar
  • Subject line
  • Preview snippet
  • Time received
  • Unread indicator (bold)
  • Star status

Thread View

Click an email to see the full thread:

  • All messages in conversation
  • Attachments listed
  • Reply inline

Multi-Account Support

Connect multiple Gmail accounts:

  • Switch between accounts with the dropdown
  • See which account each email belongs to
  • Send from the correct account

Composing Email

Click Compose or press C to open the floating compose panel:

Floating Compose Panel

The compose panel appears in the bottom-right corner of the screen, similar to Gmail. This means you can:

  • Continue browsing your inbox while composing
  • Navigate to other tabs (Calendar, Chat, Drive) without losing your draft
  • Minimize the panel to a compact bar and restore it later
  • Close the panel (with a save-draft prompt if you have unsaved content)

Writing an Email

  1. Select the From account (if you have multiple)
  2. Enter recipients in To (with contact search and autocomplete)
  3. Click Cc or Bcc to add additional recipients
  4. Write subject
  5. Compose message with rich formatting
  6. Add attachments, signatures, or booking links
  7. Click Send

Booking Links

Insert a meeting booking link directly into your email:

  1. In the compose panel, click the Link icon in the action bar
  2. Select one of your active booking links from the dropdown
  3. A formatted booking link is inserted into the email body
  4. Recipients can click to schedule a meeting with you

AI Compose Features

The compose panel includes AI-powered tools:

  • AI Compose — Generate email content from a prompt
  • Improve with AI — Enhance your draft (improve, shorten, expand, formalize, or make casual)
  • Suggest Subject — Get AI-generated subject line suggestions

Email Actions

Create Task from Email

Turn any email into a task:

  1. Open an email thread
  2. Click Create Task (or use the T keyboard shortcut)
  3. The task title is pre-filled with the email subject
  4. Select project, set priority, and assign
  5. Click Create

Schedule Meeting from Email

Create a calendar event from any email:

  1. Open an email thread
  2. Click Schedule Meeting from the toolbar or the ... menu (or use the M keyboard shortcut)
  3. The event title is pre-filled as "Meeting: [subject]"
  4. The sender's email is automatically added as an attendee
  5. Set date, time, and description
  6. Click Create Event

Labels and Folders

Standard Folders

  • Inbox — Incoming mail
  • Sent — Sent messages
  • Drafts — Unsent drafts
  • Trash — Deleted mail
  • Archive — Archived mail

Gmail Labels

Your Gmail labels sync automatically. Apply and remove labels from FanDesk.

Search

Search your email:

  1. Use the search box
  2. Enter keywords, sender, subject
  3. Results filter in real-time

Gmail search operators work:

  • from:john@example.com
  • subject:meeting
  • has:attachment
  • is:unread

Email Actions

Quick Actions

Hover over an email for quick actions:

  • Archive — Move out of inbox
  • Delete — Move to trash
  • Star — Mark as important
  • Mark read/unread

Bulk Operations

Select multiple emails:

  1. Check the boxes
  2. Use toolbar actions (archive, delete, label)
